Choose where the grass will be used
Start with a simple layout showing the area you want covered and what will sit on it. A ceremony setting, reception seating area and photo backdrop have different patterns of use. Include approximate dimensions, the venue postcode and whether the space is indoors or outdoors.
Explain whether chairs, tables, an arch, a marquee or other structures are part of the plan. Grass hire is not a structural base or a substitute for flooring required by another supplier. The venue and relevant suppliers need to agree how the complete setting will work.
Get the venue’s permission before finalising the finish
Ask about permitted floor coverings, fixings and protective layers, plus any fire-performance or access requirements. Send those requirements with your enquiry. An outdoor surface and an indoor venue floor may need different methods, so we do not assume that pins, tape or adhesive are acceptable everywhere.
For an outdoor event, show us the current surface and explain any unevenness or waterlogging. A covering does not repair unsuitable ground or guarantee a dry surface in bad weather. The quotation should state any agreed preparation and the limits of the proposed hire.
Think through guest routes and edges
Mark entrances, exits, accessible routes and the transition between grass and surrounding surfaces on the layout. Discuss chairs, heels, mobility aids and frequent movement with the venue so the overall arrangement is suitable for guests. Edge details and a secure finish need planning before fitting.
Keep necessary access routes clear during setup and the event. Tell us about cable runs and other suppliers’ equipment. If the layout changes after the quotation, ask us to review the affected areas instead of assuming that the original material quantity or fixing plan still works.
Arrange installation around the other suppliers
Provide the earliest venue access, the time the grass must be ready and the removal window. Tell us when furniture and decorations will arrive, who coordinates the suppliers and where vehicles can unload. These practical details help sequence the work and avoid fitting over an area that another team still needs.
Confirm who will clear the surface before collection and who can grant access afterwards. The hire period, delivery, fitting and removal arrangements belong in the written quotation. We confirm availability for your dates rather than treating an enquiry as a reservation.

The price depends on area and shape, the hire period, transport, fitting, edges and removal. Ask for the total including VAT and check which services are included. The garden installation calculator is not a wedding-hire calculator.
Send the venue postcode, dates, dimensions or plan, current surface and access times through our event hire enquiry. Saygrass event hire covers all London. If your plans are still developing, tell us which details are provisional so the quotation can be based on the right assumptions.
See our real London event work for an example of a temporary installation. For a business stand or promotional event, our exhibition hire guide covers the separate planning brief.
